Case Study 2

Every day during the summer season, tourists from the many cruise ships that sail into Juneau book tours with Otter Bay Kayaking Adventures. As the marketing assistant for the company, you are in charge of developing new marketing campaigns and producing marketing materials. A two-day training course on how to market adventure tour companies online is being held in Anchorage and you feel the company would benefit if you attended. Kay Johnson, the owner of the company and your boss, prefers to receive all requests from her staff in writing. As a result, you need to put together a memo that provides Kay with all the information she needs to make a decision about whether or not to fund the training course and your travel expenses. To complete this case study, you write a memo to Kay Johnson requesting permission and funding to attend the class.

1. Start a new blank document and save it as Funding Request Memo.

2. Use the 5W technique to help you determine what information to include in the memo. Jot down answers on a separate sheet of paper. Make up fictional, but realistic details about the seminar location, topics, cost, and so on.

3. Begin the memo with a purpose statement and then provide Ms. Johnson with compelling reasons why her company should fund your attendance at the training course. Hint: Ms. Johnson is most likely to respond positively if she sees a benefit to her company, so think about how the online marketing skills presented in the course will help Otter Bay Kayaking Adventures attract more customers.

4. Present all the information about the training course. Use a table to display the information in an easy-to-read format. Include a bulleted list as needed.

5. Include an action statement at the end of the memo. Remember that the goal of the memo is to convince Ms. Johnson to fund your attendance at the training course in Anchorage.

6. Format the memo attractively with a heading and a custom border, save the memo, print a copy, and then close the document.
